Our 10-person architecture studio is moving all project files into Microsoft 365 and I need a SharePoint Online structure that lets us manage drawings, schedules, and correspondence without chaos. The core of the job is to build a clean site hierarchy with libraries and metadata that support: • Full version control on every document, especially large AutoCAD *.dwg files, SketchUp models, and the usual Excel, Word and PowerPoint sheets. • A straightforward document approval workflow so draft drawings move to “Issued for Construction” only after sign-off. • Role-based permissions—three roles will do the trick (admin, standard user, guest/externals). Search must feel Google-fast; filters by project code, building type, and revision date should surface the right file in seconds. Where possible, hook the library experience into the desktop apps we live in: AutoCAD, SketchUp, and the Office suite. Even simple things such as opening, saving and version tagging directly from those programs will save us hours. Deliverables I will review for acceptance 1. Architecture diagram and written rationale for the proposed site, library and metadata structure. 2. Configured SharePoint site in our tenant with sample libraries, content types, versioning and workflows live. 3. Role-based permission matrix implemented and demonstrated. 4. Quick reference guide (PDF or Wiki page) so the team can add projects, upload files and trigger approvals without asking IT. I’ll give timely feedback and test the set-up with real project files as soon as you publish a pilot site.
