PROJECT: COMPLETE GOOGLE SHEETS AUTOMATION FOR CAR RENTAL COMPANY (232+ CARS)
We are looking for an experienced Google Sheets Automation / Apps Script / Zapier / CRM freelancer to automate our rental car business operations.
About Our Business
We operate a rental car company with over 232 vehicles. Currently, many processes are manual, and we want to fully automate our system to save time, reduce mistakes, and improve reporting.
What We Need
We want a complete automated Google Sheets system/dashboard that can manage:
1. Fleet Management
Total cars in fleet (232+ cars)
Which cars are currently rented
Which cars are available
Which cars are under maintenance
Which cars are damaged/accident
Which cars are overdue for service
Registration expiry tracking
Insurance expiry tracking
Roadworthy/compliance reminders
2. Rental Tracking
Which driver is renting which car
Rental start date
Rental end date
Weekly rental amount
Security bond/deposit tracking
Rental agreement tracking
Driver contact details
Licence expiry tracking
Status of each renter
3. Payment Tracking
We have different payment methods:
A. Manual Payments
Some drivers transfer rent manually into our bank account.
B. Direct Bank Transfers
Payments received directly into company account.
C. Direct Debit
Some customers pay through direct debit.
The system must:
Automatically track who has paid
Identify unpaid drivers
Show overdue rent
Calculate outstanding balances
Flag missed payments
Generate reminders for unpaid rent
4. Daily Automated Reports
We want a daily automated report sent automatically by email or WhatsApp showing:
Total cars rented today
Total cars returned today
Cars currently available
Cars under maintenance
Total rent collected today
Total rent due today
Outstanding rent amount
List of unpaid drivers
Drivers behind on rent
Cars rented below target rent
Which cars were rented under minimum weekly rate
Payment summary (manual, direct debit, bank transfer)
New renters added
Cars off-road/maintenance
5. Dashboard & Analytics
A dashboard showing:
Total weekly income
Monthly income
Outstanding rent
Profit tracking
Occupancy rate (cars rented vs available)
Best-performing vehicles
Underperforming vehicles
Maintenance costs
Payment trends
6. Automation Requirements
We want automation using:
Google Sheets
Google Apps Script
Zapier / Make.com (if needed)
Gmail automation
WhatsApp integration (preferred)
Automated reminders and notifications
