Operations Systems Architect for Multifamily Property

Operations Systems Architect Project-Based Role | Multifamily Property Operations | KPI Scorecards | Systems Design We own and operate multifamily apartment communities in Dallas, Texas. We are looking for a project-based Operations Systems Architect to help us design a practical operating system for our multifamily apartment business. This role is for someone who can understand how our business works, identify the right KPIs, design weekly scorecards, recommend the right software/tools, and create a system our team can actually use consistently. We are not just looking for a software builder. We need someone who understands operations, accountability, team performance, and how to turn daily work into measurable results. Our goal is to improve how we track performance, hold team members accountable, and review results on a consistent weekly basis. What We Need Help With The person we hire should help us design: - A company-level scorecard - Property-level scorecards - Role-based KPIs - Weekly meeting/reporting structure - Daily or weekly tracking process - Software/tool recommendations - A simple workflow for data entry and reporting - Training process for our assistant or internal team We want the final system to be simple, practical, and easy enough for our team to use without overcomplicating daily operations. Key Responsibilities - Review how our current operations work - Understand the roles in our property management team - Recommend meaningful KPIs for each role - Design weekly scorecards tied to actual performance - Create a structure for weekly management meetings, similar to EOS/L10 style meetings - Recommend the best tools or software for tracking KPIs and tasks - Help determine whether Airtable, ClickUp, another tool, or a simpler system is the right fit - Map out where data should come from, such as ResMan, HappyCo, spreadsheets, or manual inputs - Create a practical process for maintaining the system - Train our assistant or team on how to update and prepare reports Required Skills - Strong understanding of business operations - Ability to design practical KPIs and scorecards - Experience building accountability systems - Experience with weekly reporting or management meeting structures - Ability to simplify messy operations into clear processes - Experience recommending or building systems using tools such as Airtable, ClickUp, Monday.com, - - Asana, Notion, Smartsheet, Excel, or similar platforms - Ability to document processes clearly - Ability to train a team member to maintain the system Ideal Candidate Background You may be a good fit if you have experience as a: - Operations Manager - Operations Consultant - Business Systems Consultant - Airtable / ClickUp / Monday.com / Asana / Notion builder with operations experience - KPI or dashboard designer - Consultant or analyst with strong systems thinking - AI consultant with strong systems adoption - Relevant industry experience may include: - Property management - Real estate operations - Logistics - Call centers - SaaS operations - Service businesses - Field operations - Multi-location operations - Great Game of Business familiarity - Strong operations and systems design experience is a major plus.
