We are seeking a highly organized and tech-savvy Interior Design Email and Data Manager to oversee communication and data management for our interior design projects across the US and Australia. This role entails managing email correspondence, client communications, and data organization to ensure seamless project execution, client satisfaction, and business growth. The candidate will work closely with project managers, designers, and sales teams to maintain accurate records and coordinate outreach efforts. --- ## Key Responsibilities ### Email Management - Handle daily email correspondence with clients, suppliers,, and internal teams. - Draft, proofread, and send professional emails related to project updates, proposals, contracts, and follow-ups. - Develop and maintain email templates and automated email sequences for client engagement and marketing. - Monitor and respond to time-sensitive emails promptly, escalating to relevant team members as needed. - Manage email marketing campaigns related to new product launches, seasonal promotions, and company news. ### Data Management - Maintain and update the client database with accurate contact details, project information, and communication logs. - Organize project-related data including contracts, design plans, invoices, and supplier information. - Oversee the use of CRM tools and project management software, ensuring data integrity and accessibility. - Generate regular reports on client communications, project status, and sales metrics for management review. - Coordinate data compliance with privacy laws and regulations specific to the US and Australia (e.g., GDPR, CCPA, Australian Privacy Principles). ### Collaboration and Coordination - Act as a communication hub between designers, clients, suppliers, contractors across different time zones in the US and Australia. - Support project managers by providing timely information and documentation to keep projects on schedule. - Assist in scheduling meetings, client consultations, and delivery timelines. - Monitor feedback and customer satisfaction data to identify areas for improvement. --- ## Required Skills and Qualifications - Proven experience in email management, data administration, or client communication, ideally within interior design or a related creative industry. - Strong organizational skills with keen attention to detail and accuracy. - Proficiency in email platforms (Outlook, Gmail), CRM software (Salesforce, HubSpot, or similar), and project management tools (Asana, Trello, Monday.com). - Excellent written and verbal communication skills in English. - Knowledge of relevant data protection laws and best practices for client data management in the US and Australia. - Ability to work independently and manage multiple priorities in a fast-paced environment. - Familiarity with the interior design industry, including basic knowledge of design terminology and processes. - Flexibility to coordinate communication across different time zones. --- ## Preferred Qualifications - Experience with email marketing tools such as Mailchimp or Campaign Monitor. - Background in customer service or client relations. - Understanding of decor, furniture sourcing, and supplier coordination.
