Subject: Custom Laravel POS / Inventory / Workshop System – Full Fix & Completion (4 Week Fixed-Price Project)
We are looking for an experienced Laravel developer/company to take over, repair, optimize, and complete a custom-built POS / Inventory / Workshop Management System for a growing automotive parts and workshop business based in South Africa.
This is NOT a basic website project.
This is a live operational business system currently being used daily for:
• POS Sales
• Quotations & Invoicing
• Inventory Management
• GRN / Purchasing
• Debtors & Creditors
• Workshop / Job Cards
• Profit Reporting
• Returns & Credit Notes
• Barcode Printing
• Stock Counts & Adjustments
The system was custom-built and now requires a highly experienced developer to properly fix workflow issues, calculation issues, reporting issues, and complete outstanding functionality.
IMPORTANT:
We are NOT looking for hourly billing or endless task-based invoicing.
We want:
One fixed price
Full project completion
Proper handover and communication
Completion within 4 weeks maximum
If you cannot commit to timelines and accountability, please do not apply.
Please also do not submit unrealistic low quotations purely to win the project. We are looking for accurate, honest pricing based on the actual scope of work. Developers who underquote during the bidding process and later increase pricing or split the work into endless paid tasks will not be considered.
SYSTEM INFORMATION:
• Framework: Laravel 12
• Frontend: Bootstrap CSS
• Database: MySQL
• Hosting: Hostinger
• Fully custom coded system
• No major third-party packages
• Complete codebase and database hosted on Hostinger
• Access to full codebase via Hostinger/public_html
• .env file available containing system credentials and configuration
The previous developer confirmed:
• All frontend and backend code is hosted on Hostinger
• Database is accessible through Hostinger
• Full Laravel project exists inside public_html
• System uses MySQL database
• Credentials/configurations are stored in the .env file
SCOPE OF WORK:
This project involves fixing and improving critical business logic and workflow functionality across the system.
THIS IS THE MOST IMPORTANT PART:
The priority is NOT cosmetic features.
The priority is:
• Correct workflows
• Accurate calculations
• Proper linking between modules
• Accurate stock movement
• Accurate profit calculations
• Correct reporting
The system currently has major issues with:
• Profit calculations
• Discounts not affecting profits correctly
• Negative stock logic
• Workshop costing and reporting
• Returns reversing incorrectly
• Inventory workflow inconsistencies
• Non-stock item handling
• Delivery cost calculations
• Stock adjustments
• Sales/report mismatches
• Quotation to invoice workflow issues
• Inventory linkage issues
MAJOR REQUIREMENTS INCLUDE:
POS / INVENTORY:
• Create proper “Non-Stock / Special Order” workflow
• Separate stock items from once-off special order items
• Ability to convert non-stock items into stock items later
• Correct stock deductions
• Fix negative quantity logic
• Ensure last cost remains visible when qty reaches zero
• Improve product selection and search logic
• Add split payment functionality
• Add WhatsApp and email integration
• Add shipping cost vs shipping selling price logic
• Correct profit calculations throughout system
RETURNS:
• Returns must properly reverse:
• sales
• stock
• cost
• profit
• Remove cost visibility from customer return documents
• Fix incorrect reporting after returns
WORKSHOP MODULE:
• Fully repair workshop module
• Link workshop to inventory costing
• Add labour cost tracking
• Correct invoice and client linkage
• Proper profit calculations for labour and parts
• Prevent workshop transactions from reflecting as anonymous cash sales
REPORTS:
• Correct profit reporting
• Correct returns reporting
• Cash tracking
• Replenishment filtering
• Accurate inventory-based reporting
STOCK MANAGEMENT:
• Improve stock count workflow
• Add save-all functionality
• Resume stock take functionality
• Fix adjustment calculations
GENERAL:
• Editable terms & conditions
• Barcode fixes
• Purchase order fixes
• GRN confirmation safeguards
• Improved quotation/invoice workflow
• Better UI workflow consistency across modules
YOU MUST:
• Understand accounting logic
• Understand inventory movement logic
• Understand profit calculations
• Understand workshop/job card workflows
• Understand POS systems properly
• Be able to analyze existing codebase and improve architecture where necessary
• Work independently and professionally

1. Fully functioning corrected system

4. Clean handover
5. Documentation of major changes
6. Final testing before completion
TIMELINE:
Maximum 4 weeks from project start.
