Project Description
We are looking for an experienced freelancer or consultant familiar with AppFolio property management systems and preferably Realm-X workflow automation tools.
Our goal is to improve, standardize, and streamline several internal operational workflows within our property management company through better organization, automation, accountability, and process structure.
Current areas we are looking to improve include:
Move-in and move-out workflows
Leasing coordination and approval processes
Tenant communication workflows
Maintenance request tracking and communication
Task accountability and recurring task management
Internal operational organization
Documented procedures and consistency across workflows
Workflow automation opportunities within AppFolio and Realm-X
One of the main challenges we are currently facing is creating more consistency and automation across recurring operational tasks. Many processes are still manual or vary depending on the team member handling them, and we are looking to create cleaner, more scalable systems that are easier to track internally.
At this stage, we are looking for someone who can:
Review our current operational workflows
Identify inefficiencies or bottlenecks
Recommend workflow improvements and automation opportunities
Help implement practical operational solutions where appropriate
Assist with SOP (Standard Operating Procedure) documentation for recurring processes
Examples of SOP documentation may include:
Move-in procedures
Move-out procedures
Maintenance coordination workflows
Leasing approval processes
Task management procedures
Tenant communication standards
Ideal experience includes:
AppFolio property management operations
Workflow/process automation
Property management systems consulting
Realm-X experience (preferred but not required)
SOP and operational documentation
Process improvement and operational scaling
Scope:
This is currently intended as a low-cost starter project focused on workflow review, operational recommendations, and process organization, with potential for expanded implementation or ongoing consulting support depending on fit and results.
Timeline:
Flexible. We are primarily looking for the right operational fit and expertise.
The overall goal is to create cleaner, more professional, scalable, and automated systems for our property management operations team.
